This position is a full-time opportunity working Monday-Friday from 8:00am to 4:30pm. The rate of pay is $24/hr. Benefits include paid vacations and a simple IRA!

Duties & Responsibilities:

  • Be responsible for general office workflow, including client intake, generating work and purchase orders, processing employee timesheets, and producing a job closeout package
  • Perform bookkeeping tasks including managing accounts receivable, accounts payable, and payroll processing.
  • Create contracts for sub-contractors
  • Reconcile and autit all accounts
  • Design, implement, and maintain filing systems
  • Establish and monitor procedures for both paper and electronic record keeping
  • Ensure security, integrity, and confidentiality of data
  • Design and implement office policies and procedures
  • Analyze and monitor internal processes
  • Maintain operations manual
  • Implement procedural and policy changes to improve operational efficiency
  • Prepare operational reports and schedules to ensure efficiency
  • Co-ordinate schedules, appointments and bookings
  • Monitor and maintain office supplies inventory
  • Handle Customer Inquiries
  • Maintain a safe and secure working environment

Skills & Qualifications

  • 2-3 years of office management and bookkeeping experience, construction industry preferred
  • Administrative training with 3-5 years of experience, construction industry preferred
  • Knowledge of accounting, data and administrative management practices and procedures
  • Knowledge of clerical practices and procedures
  • Knowledge of human resources management practices and procedures is preferred
  • Knowledge of of business and management principles is preferred
  • Proficient computer skills and knowledge
  • Experience with QuickBooks, MS Office Suite, construction operations software (SmartContractor) or other database driven software such as customer relationship software (CRM)
  • Must Possess good communications skills
  • Must be proficient in problem analysis and assessment
  • Must possess problem solving skills
  • Must be proficient in planning and organizing, as well as work and time management
  • Must possess good attention to detail with a high level of accuracy
  • Must have initiative, integrity, and adaptability
