We are seeking a highly organized, proactive, and detail-oriented Office Manager/Bookkeeper to oversee daily operations, coordinate team workflows, and support executive leadership. This is a full time, temp-to-hire opportunity located in the Santa Ynez Valley. Hours are from either 7am to 3:30pm or 7:30am to 4pm. The rate of pay ranges from $26 to $35 an hour (DOE).

Duties & Responsibilities:

  • Monitor and manage daily calls, email communications, and follow-ups.
  • Supervise the processing and documentation of all administrative tasks.
  • Maintain organization of all inbound/outbound mail, scanning client documents, and distributing to appropriate team members or files.
  • Monitor task completion and workflow progression.
  • Processing payments, invoices, income and receipts and entering data into accounting software or databases then filing hard copies.
  • Paying vendor invoices and tracking bank account balances.
  • Verifying the accuracy of business accounts and alerting the accountant of errors.
  • Developing monthly financial statements including cash flow, profit and loss and balance sheets.
  • Preparing employee wages and managing employee expense claims.
  • Helping the Accountant with administrative duties and preparing yearly accounts.

 Required Skills & Qualifications:

  • 3+ years in office management or administrative leadership.
  • Proven ability to lead a team, manage workflows, and implement efficient systems.
  • Exceptional organization, attention to detail, and multitasking skills.
  • Strong communication and interpersonal skills; capable of engaging with clients and team members with professionalism.
  • High proficiency in Microsoft Suite (to include Excel), QuickBooks.
  • Valid CA Driver License – Will be driving to bank and post office.

Preferred Skills & Qualifications:

  • Knowledge of Bill.com
  • Bilingual (English/Spanish)
